What we send, what we store, and what we don't — before the legal language.

In plain language

  • When you process a video, its caption text is sent to our backend and to Anthropic (Claude) to be restructured — not the video or audio itself.
  • The resulting document is stored on our servers (Amazon S3) so you don't pay to re-process the same video twice.
  • We use Google Sign-In for authentication; we see your name, email, and profile photo, never your Google password.
  • Payments are handled entirely by Paddle, our merchant of record — we never see or store your card details.
  • We don't sell your data, and we don't use your transcripts to train any model.
  • If part of the extension breaks, it sends us a diagnostic error report — never the page address or which video you were watching.

Who is responsible for your data

The data controller for Formatim is Siarhei Zhak, a sole trader (jednoosobowa działalność gospodarcza) registered in CEIDG, NIP 5213971227, at Al. Jerozolimskie 123A/18 piętro, 02-017 Warszawa, Polska. For anything in this policy, write to [email protected] or call +48 22 602 23 20.

What we collect

  • Account information: the name, email address, and profile photo returned by Google Sign-In when you authenticate.
  • Sign-in tokens: the extension stores a session token on your device so you stay signed in between visits. It never leaves your browser except to authenticate you to our own backend, and it is removed when you sign out.
  • Caption text: when you click "Get transcript" on a video, the extension fetches that video's caption track from YouTube and sends it to our backend for processing. We do not access captions for videos you don't explicitly process.
  • Generated documents: the Markdown, HTML, and PDF output produced from your captions, stored so re-opening a processed video is free and instant.
  • Usage and billing data: which videos you've processed, credit balance and transaction history, and payment records from Paddle (receipts and status, not card numbers).
  • Error reports: when part of the extension fails, it sends us the error message, the stack trace, the extension version, an anonymous installation ID, and — if you're signed in at the time — your account ID. These reports never include the address of the page you were on or which video you were watching.

How we use it

Caption text is sent to Anthropic's Claude API to be restructured into a document, under a system prompt that instructs it not to paraphrase, add information, or guess at unclear phrases. Account data is used to authenticate you, attribute credits, and let you re-download documents you've already generated. We use aggregate, non-identifying usage data to understand how the product is used and to improve it.

Who we share it with

We share data only with the service providers necessary to run Formatim, each acting as a processor under contract:

  • Anthropic — processes caption text into a structured document.
  • Google — authenticates your sign-in.
  • Paddle — processes payments and acts as merchant of record, handling tax, receipts, and refunds.
  • Our infrastructure and storage providers — host the application, database, and generated documents.

We do not sell personal data, and we do not share it for advertising.

How long we keep it

Generated documents and account data are kept for as long as your account is active, so your library of processed videos stays available. If you delete your account, we delete your stored documents and personal data within a reasonable period, except where we're required to retain records (for example, payment records for tax or fraud purposes). Error reports are deleted automatically after 90 days.

Your choices

You can request a copy of your data, ask us to delete your account and associated documents, or ask questions about this policy at any time by emailing [email protected].

Changes to this policy

If this policy changes materially, we'll update the date above and, where appropriate, notify you by email.
